BUYER EVALUATION TOOL
A sample should create a written commercial and quality reference, not only a first impression. This checklist helps importers, distributors, retailers, and private-label teams evaluate the exact product version, package contents, functions, presentation, and open questions before quotation or production approval.
1. Identify the sample
- Public JW-S model number or approved project reference
- Sample receipt date and version
- Color, finish, logo, and package version
- Quantity received and visible package condition
- Reviewer names and approval owner
Photograph the received sample and label the review record. Do not combine comments from visually similar models or later revisions without identifying the exact version.
2. Check package contents
- Product and included accessories
- Charging cable or other power accessories
- Instructions, inserts, labels, and warnings
- Retail box, tray, sleeve, bag, and protective materials
- Barcode and product identifiers where supplied
Record missing, substituted, or damaged items. Confirm which package contents are standard and which belong only to the supplied sample.
3. Review appearance and finish
- Color consistency against the agreed reference
- Surface finish, seams, gaps, and visible marks
- Logo location, scale, clarity, and durability
- Control labels and charging-port finish
- Odor, dust, residue, or packaging transfer
Use consistent lighting and viewing conditions. Separate cosmetic observations from function or safety questions so follow-up actions can be assigned correctly.
4. Verify confirmed functions
- Power on, power off, and control sequence
- Every documented mode or function
- Remote or app pairing where applicable
- Heating, movement, suction, or other functions only when specified for the exact model
- Return to previous setting or memory behavior where documented
Do not add a function claim because a related product has it. Record any mismatch between the sample, current specification, manual, and proposed retail copy.
Material verification
Compare the exact-model material specification with the agreed sample version and available documentation. Record surface and assembly observations, but do not infer material composition, medical-grade status or safety certification from appearance or touch.
5. Charging and operating review
- Connector fit and charging indication
- Initial charging behavior
- Control response during normal use
- Unexpected heat, interruption, or connection issues
- Battery or operating-time observations kept separate from unverified claims
A sample check is not a substitute for formal laboratory testing. Where battery, waterproof, noise, or performance claims matter, request verified model-specific information.
Noise, battery and waterproofing: agree the conditions first
For noise observations, record the mode, setting, distance and room conditions. Compare only under the same agreed method; this checklist defines no universal noise limit. For rechargeable models, record charging conditions, indicator behavior, operating mode and observed run time separately from the supplier specification. Do not publish a battery claim from a single informal trial.
Waterproofing checks apply only when an exact-model rating and an appropriate procedure have been confirmed. Do not immerse a product based on appearance or a claim from another model. Record the specified rating, supporting documentation and any questions before testing. Stop evaluation and seek guidance if there is damage, abnormal heat or another safety concern.
6. Packaging and retail readiness
- Product protection and movement inside the package
- Opening sequence and buyer presentation
- Artwork accuracy, language, and legibility
- Model, color, quantity, and barcode consistency
- Carton and freight data still required for the order
Mark artwork changes separately from structural packaging changes. Printed packaging should not be approved until the product, contents, and package structure are stable.
7. Documentation and claim review
- Requested document applies to the exact model
- Report or declaration reference is recorded internally
- Destination-market review owner is identified
- Public claims match verified product data
- Unconfirmed fields remain excluded from public copy
The buyer remains responsible for determining the requirements of the destination market and sales channel. Ask for available product-specific documentation before final approval.
8. Record the decision
- Approved as received
- Conditionally approved with listed corrections
- Revised sample required
- Rejected with model-specific reasons
- Open commercial, technical, packaging, or document actions
Assign an owner and due date to every open item. Keep the approved sample record with the quotation, artwork, specification, and purchase documents so production review uses one agreed reference.
Sample evaluation summary
- Product identity is confirmed.
- Package contents are recorded.
- Every documented function has been reviewed.
- Cosmetic and packaging comments are separated.
- Claims and documentation are model-specific.
- The approval status and remaining actions are explicit.

Download a printable review record
Use one record per model and sample version. The printable version includes space for observations, evidence, action owners and the final commercial decision. It is a buyer evaluation framework, not a laboratory standard or a certificate.
Enter your email in the existing JWELL buyer-asset form to receive the printable checklist. Other business details are optional.
After the review
Separate model-specific quality observations from commercial decisions. Record which changes need a revised sample and which require artwork or document approval. Discuss private-label requirements, then prepare a project quotation. Keep the approved reference with the final specification; sample approval does not by itself authorize production.
